Polinex Client - Discord Bot Privacy Policy

This Privacy Policy covers only the data collected and processed by the Polinex Client Discord bot as part of its operation in our Discord server. It does not cover the separate Polinex website, API, or Minecraft client, which are governed by their own policy.

1. Who We Are

Polinex Client operates a Discord bot in its official Discord server to support customers, moderate the server, and manage product-role access. Contact us at [email protected] with any privacy questions.

2. Information the Bot Collects

We do not collect your Discord presence/online status, voice activity, or message content from any channel outside the ones listed above.

3. Why the Bot Requests Privileged Intents

Server Members Intent - used to detect when a customer who already owns a Polinex license joins our server, so we can automatically grant their purchased product role(s) and send a one-time welcome/setup DM. Also used to resolve member records for staff moderation actions (e.g. bans) and to restore roles from a server backup.
Message Content Intent - used only within the specific designated channels described in Section 2: generating support-ticket transcripts, relaying messages through the opt-in IRC bridge, and scanning for known scam images in a help channel. We do not read, log, or store message content from any other channel.

We do not request or use the Presence Intent - the bot does not track your online status or activity.

4. How We Use This Data

To automatically assign Discord roles matching your purchased products
To provide customer support through Discord tickets, including generating transcripts on close
To operate the opt-in IRC chat bridge
To detect and remove known scam images posted in our server, and warn affected users
To let staff moderate the server (e.g. bans, appeals handling)

5. Who We Share Data With

Discord-collected data is shared only with Discord itself, as inherent to operating a bot (see Discord's own Privacy Policy), and with our own moderation/support staff internally. If you use the IRC bridge, your relayed message is also visible on the connected IRC network in real time - it is not stored off-platform, only relayed live. We do not sell this data to third parties.

6. Data Retention

Support-ticket transcripts and scam-moderation logs are retained for record-keeping and staff accountability. Role and membership state simply reflects your current Discord server membership and is not retained after you leave. You may request deletion of retained transcripts/logs at any time - see Section 7.

7. Your Choices & Rights

You can opt out of the message-content-dependent features simply by not using them - e.g. not posting in the IRC bridge channel.
You can leave our Discord server at any time, which stops any further Discord-side data collection about you.
You can request a copy of, or deletion of, data the bot holds about you (such as ticket transcripts or moderation logs) by emailing [email protected].

8. Children's Privacy

Our Discord server and bot are not directed at children under 13, and we do not knowingly collect data from children under 13 through it. If you believe a child has provided us with personal information via Discord, contact us and we will delete it.

9. Changes to This Policy

We may update this policy from time to time. Material changes will be reflected by updating the "Last updated" date above.
